Story

A creative community reviews prospective members through an interview process. After each interview, reviewers needed to document their decision, update applicant records, and send the appropriate follow-up communications. What sounds simple quickly became a repetitive administrative task with numerous edge cases and opportunities for human error.

The challenge was that every possible interview outcome required a different sequence of actions. Accepted applicants needed welcome communications and status updates. Waitlisted applicants required a different messaging flow. Rejected applicants needed a thoughtful response. No-shows needed instructions to reschedule. Each decision triggered updates across multiple systems.

To streamline the process, I built a centralized submission workflow using Tally and Zapier. Reviewers simply complete a short form indicating the interview outcome, and the automation handles everything else behind the scenes.

The workflow contains more than 30 conditional branches that encode the organization's membership review process into software. Based on the submitted outcome, the system evaluates the applicant's status and automatically determines the appropriate next steps.

Depending on the decision, the workflow updates Airtable records, changes membership statuses, sends personalized communications, triggers follow-up actions, and routes applicants through the correct process. The system also handles edge cases such as interview no-shows, ensuring applicants receive instructions to reschedule without requiring manual intervention.

One of the biggest benefits is that reviewers no longer need to remember operational procedures or administrative follow-up steps. They simply submit a decision, and the automation executes the organization's process consistently every time.

The result is a self-sustaining operational workflow that saves approximately 30 minutes per interview, reduces administrative overhead, and creates a more reliable experience for both applicants and reviewers.
