Built an automated messaging system that tracks payment status and delivers personalized follow-up sequences until a customer converts or completes the desired action.
The team was manually following up with newly accepted members to ensure they completed payment, creating repetitive administrative work and inconsistent conversion rates.
After prospective members were accepted into a creative community, they still needed to complete payment before officially joining. While acceptance represented a strong signal of intent, many applicants would delay payment, forget to complete registration, or simply require additional reminders before taking action.
Historically, team members handled these follow-ups manually. They would periodically check payment records, identify unpaid applicants, and send individual messages reminding them to complete their membership registration. As membership volume increased, this process became increasingly difficult to maintain consistently.
To solve this, I built an automated conversion follow-up engine that monitors applicant payment status and manages outreach automatically.
The workflow integrates Airtable, Stripe, and iMessage-based messaging into a single system. Once an applicant is accepted, the automation begins monitoring their membership status and checks whether payment has been completed.
If payment is detected in Stripe, the workflow immediately exits and no further communication is sent. If payment has not been completed, the system automatically delivers personalized follow-up messages on a predetermined cadence.
For example, an applicant may receive an initial reminder after several days, followed by additional messages at later intervals if payment remains incomplete. Each communication includes relevant context and direct links that make it easy for the recipient to complete the process.
The system continuously evaluates payment status between each follow-up step, ensuring that outreach only occurs when necessary. This prevents duplicate messaging while maintaining consistent engagement with prospective members.
The result is a self-sustaining conversion workflow that eliminates manual follow-up work, increases payment completion rates, and ensures that no accepted applicant falls through the cracks.
